Estimating Assistant

PurposeTo assist the Commercial Estimating department on pricing and development of sales. Key responsibilities and accountabilities: 1) Contact vendors in order to get competitive quotes on items needed for a bid. 2) Price out jobs/bids. 3) Ability to use the estimating system and the digitizer. 4) Read and comprehend designs and print layouts. 5) Comfortable with the use of numbers and the ability to understand basic formulas. 6) Assist in the overall development of sales estimates. 7) Any miscellaneous paperwork needed to be completed by the Commercial Estimators. 8) Keep up with bid log; make sure projects are going out on time. 9) Understand project scopes and place in a well formatted bid. 10) Receive incoming prints and review to make sure necessary prints were made available. 11) If necessary, contact client and request additional or proper prints. 12) Follow projects with addenda thought faxes-emails and FTP sites, make adjustments to bids as necessary. 13) Read, understand and incorporate specifications into bid scopes 14) Ability to scale drawings both engineer and architectural 15) Become familiar with suppliers and secure quotes for specified material 16) Understand relationships of plant material sizes for shrubs-gal cont/can size to inches in height/spread, for trees height to inches in caliber and vice-versus 17) Corroborate plant quantities on plant list with symbols on plan, i.e. make sure the plant list is correct 18) Utilize time management to set schedule for bidding 19) Be able to calculate square footages, cubic yards, and tons of various landscape materials as required by plans and specifications. 20) Be able to secure subcontractor pricing for possible work outside of our scope of work 21) Make sure all folders are properly labeled and information contained within is pertinent 22) Follow up on request from salesmen/lead estimators 23) Progress from simple planting/seeding jobs to multifaceted projects 24) Review bid proposal for: proper content/spelling/grammar/prices 25) Review plans printed off by commercial assistant, make sure you have what you need to bid job both plans and specifications

Residential Design/Sales Manager

PurposeTo plan and carry out the process of designing and selling a landscaping project to fit the needs and desires of the customer. Key responsibilities and accountabilities: 1. Receive customer leads and hastily return these calls to ensure that the customer is treated properly. 2. Schedule appointments to visit the customer and his/her prospective project site. 3. Survey the site with the potential customer as well as research any information necessary or pertinent to the project prior to meetings. 4. Work directly with the customer to help understand what they envision or what their likes and dislikes are. 5. Schedule meetings with the designer and the architect so that a vision can be produced on paper, in the form of scaled drawings. 6. Produce formal proposals for the customer to see, and discuss these proposals with the customer so that they understand what they are purchasing as well as what the final product will look like. 7. Produce a formal contract and initiate the signing of that contract and collect the deposit for the project. 8. Produce a procedures list, which depicts a step by step process of how the job is to be completed. 9. Communicate with the production coordinator to ensure that the plans of a project are understood and that the projects are scheduled. 10. Ensure that all changes for the project are documented on ticket/proposals, which need to be signed in order for that particular work to proceed. 11. Complete all necessary paperwork, so that the receptionist can create a file for the project. 12. Collect payment of the job and walk the site with the owner to ensure that all issues are addressed and completed while the crew is still on site. 13. Continuously train and develop your working knowledge of plant material and the landscaping market. 14. Encourage growth in the department by assisting others when necessary and attending training and certification classes.

Ability to scale and read drawings and blue prints 2. Must be able to identify plant material 3. Ability to operate a truck and trailer 4. Manage a crew 5. Manage the aspects and flow of the job site 6. Operate equipment such as a Hydro Seeder and Bobcat 7. Handle relations between client and Outside Unlimited 8. Capable to obtain a CDL and take the CLT Test

PurposeDepartment: Corporate Title: Plant Material Purchaser Reports To: Commercial and Residential Manager Job Purpose: To purchase the necessary plant material for the residential, commercial, and maintenance departments. Key responsibilities and accountabilities: 1. Receive plant lists and folders from residential and commercial departments. 2. Utilize the estimation software, as well as the buy out package to help establish the appropriate prices at which any plant material should be purchased for. 3. Source out and purchase plant material per specs at or below bid price. 4. Continuously visit and observe plant material which is been purchased to ensure that all material is in good condition and healthy. 5. Maintain strong working relationships with the vendors, plant broker, and nurseries to ensure that Outside Unlimited Inc. is considered their best customer. 6. Frequently review the plant price book in the estimation program to update and revise the prices of all plant material. 7. Attend all meetings for production of both the residential and commercial departments. 8. Organize and plan deliveries to job sites. 9. Supervise locating and tagging plant material in yard for jobs. 10. Organize and maintain plant material in yard, ensure the irrigation system is running properly, and plant material is spaced properly. 11. Oversee Yard Supervisor and ensure he/she is following their responsibilities. 12. Attend trade show and seminars, which on average occur 4-5 times a year.
